1. Purpose

This Quality Assurance Policy outlines our commitment to ensure that all products supplied via GetUniformed.co.uk are reliable, durable, safe, and conform to both statutory requirements and agreed specifications.

2. Scope

This policy applies to all uniforms, workwear, safety garments, accessories, and branding services (printing, embroidery) offered through our website or via bespoke orders. It covers all stages, including design, sourcing, production, inspection, and delivery.

3. Quality Standards & Criteria

We set firm quality criteria that every item must meet:

  • Material Quality — all fabrics, threads, and components must comply with relevant industry standards (e.g. ISO, EN where applicable).

  • Performance — garments must retain shape, colourfastness, stitch integrity, and functionality (fasteners, zips, buttons) through normal use and washes.

  • Fit & Size Accuracy — we adhere strictly to our published size charts and ensure correct sizing unless a customer requests a custom fit.

  • Branding Accuracy — logos, names, designs, and placement in printing or embroidery must match approved artwork files in colour, scale, and location.

  • Safety Compliance — for any high-visibility or safety garments, products will comply with BS EN or other relevant safety standards.

  • Defect Tolerance Levels — we define acceptable defect thresholds (e.g. minor threads, minor misalignment) that do not affect safety or overall performance, but will not accept defects that impair function or appearance.

4. Supplier & Material Control

  • We maintain strict selection criteria when choosing fabric and component suppliers.

  • Each incoming batch of materials undergoes incoming quality inspection (IQC) before being accepted into production.

  • Materials failing inspection are rejected or returned immediately.

5. Production & Process Controls

  • We employ in-process quality checks (IPQC) at critical stages (pre-decoration, post-decoration, final assembly).

  • At each check, trained staff assess stitching, size, alignment, colour fidelity, and overall finish.

  • Any non-conforming items are quarantined and either reworked (if possible) or scrapped.

6. Final Inspection & Packaging

  • Before dispatch, all garments pass a final quality inspection (FQI), verifying that the order matches the customer’s specifications (item, size, branding).

  • We check for loose threads, misprints, stains or any defects out of tolerance.

  • Approved garments are carefully packaged — protecting from damage, dust, moisture — and labelled properly for shipment.

7. Corrective Action & Continuous Improvement

  • If defects or customer complaints are detected, we launch a root cause analysis (RCA) to determine the cause (material, process, machinery, human error).

  • Based on findings, we issue corrective actions (e.g. training, machine calibration, process adjustment) to prevent recurrence.

  • We maintain records of non-conformances and corrective actions, reviewing quarterly to trend and reduce defects.

8. Customer Feedback & Returns

  • We encourage customers to report any quality issues within 7 days of delivery, providing photographs and descriptions.

  • Where valid, we offer repair, reprint, replacement, or refund.

  • Feedback is used in our continuous improvement review loop.

9. Training & Responsibility

  • All staff involved in design, production, inspection, and customer service receive regular training on quality standards, procedures, and corrective practices.

  • The Quality Manager / Operations Manager is responsible for oversight of this policy, audits, and ensuring compliance throughout the organisation.

10. Review & Revision

  • This Quality Assurance Policy is reviewed annually — or more frequently if required by process changes, customer feedback, or regulatory updates.

  • Revisions are documented and communicated to all relevant staff.
